Set up alerts and the follow-up e-mail.
- Who can do this
- Owners and admins set up alerts and the e-mail. Each person links their own Telegram account under Account.
- Where in the app
- Notifications, Account and Email
In short
You will get a message in Slack or Telegram when a lead or meeting request arrives, and visitors who gave consent will get your follow-up e-mail with a reply that reaches the rep.
Steps checked
Turn on alerts.
- Step 1.
Open Notifications. In Slack incoming webhook, paste the address of an incoming webhook from your Slack workspace and press Save notifications. Press Test Slack. You should see Test message sent. Check the Slack channel.
- Step 2.
For Telegram, keep Send Telegram messages ticked. It is the master switch for your organisation. Tick Also notify owners and admins if every owner and admin with a chat id should get a message, not only the card owner.
- Step 3.
Ask each person to open Account. Under Telegram notifications, they open the notifications bot in Telegram and send
/start. - Step 4.
Back on Notifications, the list Recent /start senders shows the name, username and Chat id of people who did this in the last 24 hours. The bot is shared, so the list can include people outside your organisation. Copy only your colleague's id.
- Step 5.
On Account, the person pastes the number into Telegram chat id, keeps Notify me about new leads ticked and presses Save Telegram. Send test message confirms it.
Send the follow-up e-mail.
- Step 1.
Open Email. In Follow-up e-mail, tick Send the follow-up e-mail. One e-mail goes to each visitor who ticked the consent box, after the form is saved.
- Step 2.
Write the Subject, one line of up to 150 characters, and the Intro, up to 2000 characters. Use
{{firstName}},{{repName}}and{{company}}. For meeting requests you can also use{{day}},{{time}}and{{topic}}. A blank line starts a new paragraph. A misspelt placeholder is refused. - Step 3.
Add a Sales sheet link if you want one shown under the button. It must start with https.
- Step 4.
Tick Reply goes to the rep. The Reply-To address is then the card owner's, so the answer reaches them and not a shared mailbox.
- Step 5.
Press Save e-mail settings. Under Preview, switch between Card form and Meeting request to read both versions.
- Step 6.
Press Send test to my address. The saved wording goes to your own address with sample data, and the subject starts with Test.
What is sent, and when.
When a form or a meeting request is saved, Slack gets a message with the name, company, score and placement and a link to the lead. Telegram goes to the card owner, and to owners and admins if you ticked that. The follow-up e-mail goes only to a visitor who ticked consent, and only while the switch is on. The visitor first gets a short e-mail from your organisation asking them to confirm their address, and the follow-up is sent once they press the button on that page. One address gets at most three of these e-mails in 24 hours. A meeting request uses its own wording until you change the default subject and intro. Nothing delays the visitor. A failed send is written to Activity with the error text. An admin can send the e-mail again from a lead with Resend email: while the address is not confirmed it sends the confirmation again, still only for a lead with consent.
Common questions.
Does a visitor without consent get the e-mail?
No. The follow-up goes only to visitors who ticked the consent box. A lead without consent is skipped and the lead shows why.
Who gets the Telegram message?
The owner of the card the visitor used, if they linked Telegram and kept Notify me about new leads ticked. Owners and admins also get it when you tick Also notify owners and admins.
Can I use both Slack and Telegram?
Yes. They work side by side. Slack posts to one channel for the whole organisation, and Telegram goes to people.
