In short

1Namecard is a business-to-business namecard and lead tool. At a medical congress it can hold the business contacts of a medtech supplier or device distributor: a card, a consent-based lead form and meeting slots at the stand. It is not a medical device, and it is not for patient data or for promotional claims about prescription medicines to the public. Starter is free with 3 cards. Team is EUR 88 per month for 50 cards.

Sound familiar?

  • Caution: Your stand at a congress draws clinicians, procurement staff and distributors.
  • Caution: The conversations are about devices, supply and service, and you need business contacts, not clinical information.
  • Caution: Your sales team wants to know who asked for a meeting.
  • Caution: Your compliance team asks three questions: what do you collect, with what consent, and where is it stored.
In the foyer of a medical congress between sessions, a doctor in a navy suit with a blue lanyard checks her phone beside plain poster boards.

What changes for you.

  • A card for each business contact.

A card holds a name, title, company, e-mail and phone, with Save contact. Put only content on it that your compliance team has approved. The digital namecard carries your logo and colours.

  • A lead form for business details.

The form asks for name, company, work e-mail, phone, role and a short note. The consent wording sits beside the box, and each lead stores the exact text and its version. Write the wording so it says what you will do with the details.

  • Meeting slots at the stand.

Run the congress as an event with days, hours and the stand number. Visitors pick Meet at the stand and a slot, with one tap to see the times in their own time zone. Two people cannot book the same slot with the same rep.

  • Delete one person's data.

An admin can use Delete all data for this email on a lead. It removes the person's leads, meetings and notes from the live database and, if HubSpot is connected, asks HubSpot once to delete the contact. Backups taken before the deletion are not changed.

  • Data in the EU, kept separate.

Customer and lead data is stored and processed in Frankfurt, Germany, and each organisation's data is kept apart. Members see only the leads of their own cards. An activity log records changes, and a data processing addendum is part of the terms.

A three-day congress, stand 12.

  1. Step 1.

    Before the congress, review.

Your compliance and legal teams check the card, the links, the consent wording and the instructions for the stand team. Nobody goes live before that sign-off.

  2. Step 2.

    Day one, a procurement manager.

A hospital procurement manager scans the card, saves the contact and sends the form. Only business details are asked. She ticks the consent box.

  3. Step 3.

    Day two, a distributor.

A distributor books Thursday at 10:30, and the slot shows both time zones. The rep sees the booking in the agenda.

  4. Step 4.

    Day three, the team brief.

The stand lead reminds the team not to write any patient or health information in notes. The lead list stays business-only.

  5. Step 5.

    After the congress.

The team follows up by e-mail only with visitors who ticked the consent box. If someone asks to be removed, an admin deletes all data for that e-mail address.

What it does not do.

  • Not included: 1Namecard is not a medical device. Do not collect patient data or health data in the lead form, the note field or the meeting request, and tell your stand team the same.
  • Not included: It does not check the content of your cards, links or follow-up e-mails against any rules on promoting medicines or devices, and it has no approval workflow. Follow your own compliance process and your local codes of practice.
  • Not included: It does not manage your dealings with healthcare professionals. It has no records for reporting payments or other transfers of value.
  • Not included: Get your own compliance and legal review before use. This page is not legal advice. Local rules differ and they are yours to check.

What medical and pharma congresses ask.

Can we collect patient information in the form?

No. 1Namecard is a business-to-business tool and is not built or approved for patient or health data. Keep that out of the form, notes and meeting requests.

Can we send product information after the congress?

Only to visitors who ticked the consent box, and only when the follow-up e-mail is switched on. What the message may say is set by your own rules, so check them first.

Does it have healthcare certifications?

No. There is no SOC 2 report and no healthcare certification. The security page lists what is true today so your teams can assess it.

Can a person ask us to delete their details?

Yes. An admin can delete all data for one e-mail address from the lead page. Backups taken before the deletion are not changed.

Try it at your next event.
