Data and privacy
Delete the data for one e-mail address.
- Who can do this
- Owners and admins.
- Where in the app
- Leads, then the lead, then Erasure request
In short
You will have removed every lead, meeting request and note held for one e-mail address in your organisation from the live database, and asked your connected CRM to delete the contact. Backups taken before the deletion are not changed. This is not legal advice.
Steps checked
Answer a request in five steps.
- Step 1.
Check and record the request. Confirm who is asking, write down the date and the address, and note what you decide. Do this in your own records.
- Step 2.
Find the person. Open Leads, type the address in Search name, company or email and press Apply. Open each lead you find. A person can appear on several cards.
- Step 3.
For an access request, press Export CSV on Leads with that search applied, and on Meetings, and send the person what you hold.
- Step 4.
For a deletion request, open the lead and find the Erasure request panel. Press Delete all data for this email and confirm the question that asks if you want to delete all data for this e-mail address in this organisation.
- Step 5.
Check the result. You return to Leads with the message All data for that e-mail address was deleted. Search the address again to see that nothing is left, then tell the person what you did.
What it removes.
The button removes every lead with that address in your organisation, including leads you had deleted before, with their meeting requests, their notes and the activity entries that mention them. It cannot be undone. If any of those leads was sent to your connected CRM, such as HubSpot, 1Namecard also asks the CRM once to permanently delete the contact with that address. If the CRM is disconnected, its access has expired or it cannot be reached, the deletion in 1Namecard still goes through, and you delete the contact in the CRM by hand.
The deletion does not change the daily backups taken before it. It also cannot recall what was already delivered: Slack and Telegram alerts, follow-up e-mails and webhook deliveries.
The Activity page keeps one entry for the erasure. It holds the counts of leads, meetings and notes removed and the CRM result, and nothing that identifies the person.
Delete lead is different.
Delete lead only hides one lead from the lists and the funnel. An admin can bring it back with Restore lead under Show deleted. Delete permanently removes that one lead with its meetings and notes. Neither one touches other leads with the same address or contacts your CRM. For an erasure request, use Delete all data for this email.
Common questions.
Can I undo an erasure?
No. The data is deleted for good from the live database, and the connected CRM is asked to delete the contact too. Backups taken earlier are not changed. Export first if you need a record of what you held, and send it only to the person who asked.
Can a member delete data for an e-mail address?
No. Only owners and admins see the Erasure request panel. A member can ask an admin to do it.
Does the activity log keep the e-mail address?
No. The activity entries about the deleted leads and meetings are removed, and the one entry written for the erasure holds counts only.
