Leads, meetings and events
Set up an event for your stand.
- Who can do this
- Owners and admins. Everyone else can see the list of events.
- Where in the app
- Events
In short
Your cards will show the current event and offer stand meeting slots, only with the people who are at the stand, on the days they are there.
Steps checked
Create the event.
- Step 1.
Open Events and press New event.
- Step 2.
Fill in Name. Add Venue and Stand, for example
4-B21, which the Now card shows. City appears in the upcoming list. - Step 3.
Set Start date and End date. The end date is the last day, inclusive, and the dates decide the booking days. Leave both empty for a show without confirmed dates, and use Dates label to show your own text in the upcoming list. Tick Placeholder while details are not final: a placeholder cannot be made current.
- Step 4.
Under Booking hours, choose the Event time zone, the zone of the venue. It starts as your organisation's default.
- Step 5.
Set Opens and Closes, which start at 09:00 and 18:00. Set Meeting length (minutes), 10 to 120, and Gap between meetings (minutes), 0 to 60. A gap of 0 means back to back.
- Step 6.
Press Create event. The message reads "Event created in the upcoming list."
Set the days, the team and go live.
- Step 1.
Press Edit on the event.
- Step 2.
Under Days, change Opens and Closes for a single day, or tick Closed to stop bookings on it. To copy one set of hours to every day, use Same hours on every day and Apply to all days. Press Save days. A day that already has meetings can be closed but not removed.
- Step 3.
Under Team, tick the people at the stand. For an event of several days, use the day chips to choose which days each person attends. Press Save team. A card shows the event, and offers stand slots, only if its owner is on the team and only on their days.
- Step 4.
Back on Events, press Make current on the show that is happening now. It needs dates, a venue and a stand, and only one event is current at a time. Use the arrows to order the upcoming list.
After the show.
A finished event moves to Past by itself the day after its last day, on the venue's clock. It leaves your cards and stops taking bookings, while its meetings and leads stay. Use the Meetings and Leads buttons on the row to open them. Its days and team become read-only. For a few weeks the most recent past event gives cards the prompt "Missed us at" followed by the event name and "Book a call".
Common questions.
Can two events be current at once?
No. One event is current. When you make another one current, the first goes back to the upcoming list.
Does changing the time zone move meetings that are already booked?
No. A meeting keeps the exact moment it was booked for. The new zone applies to the hours you offer from then on.
Why can I not make my event current?
It is a placeholder, has no dates, or has no venue or stand. The message says what is missing. A finished event cannot be made current.
