Cards, then Import

In short

You will have a draft card and a member login for every valid row of your file, and a file of temporary passwords to hand out.

Steps checked

Prepare the file.

One row per person. Commas and semicolons both work, and the columns can be in any order. These columns must be in the header row: first_name, last_name, title, email, phone, telegram, linkedin, location and bio. These are optional: office_phone, whatsapp, slug and languages. Every row follows the same rules as the card form, so phone numbers need the country code and a bio stops at 200 characters. A blank slug is made from the name.

Check the file, then import.

  1. Step 1.

    Open Cards and press Import.

  2. Step 2.

Press Download template if you want a file with the columns and one example row.

  3. Step 3.

Under CSV file, choose your file. A file over 1 MB is refused: "The file is larger than 1 MB. Split it and import the parts one after the other."

  4. Step 4.

Press Check file. Nothing is created yet. The result shows new logins, existing accounts, rows with problems and the total, and a table with a result for every row: New login, Existing account or Problem with the reason by column.

  5. Step 5.

Fix any problem rows in your file and check again. If you go ahead, rows with problems are skipped.

  6. Step 6.

Press Import followed by the number of cards. A large file takes a few minutes, so keep the page open.

  7. Step 7.

On the result screen press Download email,temp_password CSV and save the file. Then press I saved the file, remove the passwords from this page.

What the import creates.

  • A new e-mail address gets a member login with a temporary password, which must be changed at first sign-in, and an unpublished card owned by that login. No e-mail is sent. You pass the password on yourself, over a private channel.
  • An e-mail address that already has an account elsewhere gets access to your organisation and a card. It keeps its own password and is not in the passwords file.
  • Every card is a draft. Open it, add a photo and publish it.

Limits and common problems.

At most 500 rows per file. Starter allows 3 cards and 3 users, Team 50 and 25, Business 500 and 200. A row that does not fit is listed under Skipped or failed with a message such as "Your plan allows 3 users. Contact us to move to a bigger plan." Other messages you may see: "Same email as row 2", "Same slug as row 3", "Already in this organisation (see Users)" and "Another card or short link already uses this slug".

Common questions.

Does the import e-mail the people?

No. It creates logins and draft cards. You pass on each temporary password yourself, and the person must choose a new one at first sign-in.

Can I update cards that already exist?

No. The import only creates cards. A row whose e-mail address is already in your organisation is reported as a problem and skipped. Edit existing cards under Cards.

Can I import short links the same way?

Not yet. Bulk import of short links is in development. Create them one by one under Redirects for now.
